Through our AI voice agents and automation tools, we may collect:

- Scheduling information: appointment preferences, availability, and confirmed booking details
- Call transcripts and recordings: voice interactions processed for lead qualification and service delivery
- Business account information: name, email, billing details, and account credentials for clients who sign up
How we use your data
We use collected data to:
- Generate lead summaries and call insights for our business clients
- Process payments and manage client accounts
- Comply with applicable legal obligations
Data sharing
We do not sell, rent, or share caller data or transcripts with third party marketing agencies or data brokers. Data is isolated to your individual account and is only shared with:
- Trusted infrastructure providers (e.g., hosting, telephony, payment processors) under strict confidentiality agreements
- Legal authorities if required by applicable law
Call recording disclosure
Our voice AI systems may record and transcribe calls for the purposes of lead capture and service delivery. Business clients using Oteva are responsible for ensuring callers receive appropriate notification in accordance with applicable recording consent laws in their jurisdiction.
Data security
We implement industry-standard security practices including encryption in transit and at rest, access controls, and isolated account storage to protect your data from unauthorized access or disclosure.
Data retention
We retain call transcripts, recordings, and account data for as long as your account is active or as required by law. You may request deletion of your data by contacting us directly.
Your rights
Depending on your location, you may have the right to:
- Access the personal data we hold about you
- Request correction or deletion of your data
- Opt out of certain data processing activities
California privacy rights (CCPA)
If you are a California resident, you have specific rights under the California Consumer Privacy Act (CCPA):
- Right to Know: You may request a list of the personal information we have collected about you, the categories of sources, the business purpose for collecting it, and any third parties it has been shared with.
- Right to Delete: You may request that we delete personal information we have collected from you, subject to certain legal exceptions.
- Right to Opt Out: We do not sell personal information. You therefore have no need to opt out of a sale, but you may contact us at any time to confirm this.
- Right to Non Discrimination: We will not discriminate against you for exercising any of your CCPA rights. All users receive the same quality of service regardless of whether they submit a privacy request.
